Conditions of booking

The Commonwealth Telecommunications Organisation (CTO) is an international organisation of Commonwealth and non-Commonwealth governments, businesses and civil society organisations, which among other things holds international events and conferences as means of promoting the use of information and communication technologies for development. The CTO is an Inter Governmental Organisation (IGO) and subject to international treaty are excused from paying or charging VAT. The CTO does not hold a registration number or VAT number as a result of this special international diplomatic status. There will be no VAT added to the total invoice amount payable. The CTO’s registered office is: 64-66 Glenthorne Road, London, W6 0LR, United Kingdom.

By completing and submitting to us your booking request, you are confirming your agreement to these terms & conditions. For the purposes of clarification, the contracting parties shall be Commonwealth Telecommunications Organisation (as the provider of conference/seminar) and either you or your employing organisation (as the recipient of the services).

Completed application forms should be returned to the address above, along with the correct payment. Bookings for our events can also be made via email or through our website. We prefer payment by credit or debit card at time of booking. In case this is not possible for you, we are happy to arrange an invoice. Please do note that invoices are payable within 15 days from date of invoice, and all payments for events must be received prior to the event or we reserve the right to refuse entry. In case you register at short notice (less than 21 days in advance) we will require payment by credit or debit card only to secure your place.

Attendance at the event will only be confirmed on receipt of the full balance.

Cancellation, postponement and substitution policy

Cancellations of all events, as well as any other changes that affect the participant’s attendance, should be received in writing, preferably via email to events@cto.int.

All cancellations must be made in writing at least 21 days before the event date and acknowledged by a member of CTO. Any cancellations made after this time period will levy a 100% cancellation charge. Replacement delegates are welcome at any time.

The CTO reserves the right to cancel any event. In this case, the full fee will be refunded. In the event that CTO postpones an event for any reason and the delegate is unable or unwilling to attend on the rescheduled date, you will receive a full refund of the fee paid. The CTO is not responsible for any loss or damage as a result of a substitution, alteration or cancellation/postponement of an event.

Please note that while speakers and topics were confirmed at the time of publishing, circumstances beyond the control of the organisers may necessitate substitutions, alterations or cancellations of the speakers and/or topics. As such, the CTO reserves the right to alter or modify the advertised speakers and/or topics if necessary without any liability to you whatsoever. Any substitutions or alterations will be updated on our web page as soon as possible.

Liability

The organisers do not accept liability for any injuries or losses of any nature incurred by delegates and /or accompanying persons, nor for loss or damage to their luggage and/or personal belongings.

The views and opinions of speakers and participants at CTO events and conferences do not necessarily reflect those of the CTO and shall not be used for endorsement or advertising purposes. Statements of speakers and participants made during the CTO events and conferences do not constitute legal advice and should not be used as a substitute for professional advice.

By attending the CTO’s events and conferences, attendees consent to the use of their name, image, and likeness in CTO materials (including, but not limited to, advertisements for its events and conferences, the CTO website, its newsletters, and marketing materials inclusive of third party-trade publications).  

By registering for a CTO event or conference, attendees acknowledge that their contact information (e.g., name, address, telephone number, and email) may be included in materials provided to all event and conference attendees.

Photography, audio and video recordings other than for personal non-commercial use are not permitted without the prior written consent of the CTO.
